Offer services to groups that can be invoiced in their company name.

A corporate account is a specific type of account that can be used for businesses, schools, or organizations and represents multiple people or a group instead of individuals. It allows you to bill a group rather than a person. Several people may have access to the account information, and if a user leaves, their access can be removed and given to someone new.

How to create a Corporate Account

If your organization would like to offer corporate account access to your clients, contact our Customer Care team at: support@amilia.com. You can decide if you want to be fully responsible for all the purchasing, invoicing and payment, or if your corporate users have access to manage and pay in their own accounts.

To create a new corporate account, go to Clients > Accounts, and in the Operations menu, select + Add new corporate account:

Corporate Account Access

Once the corporate account is created, a username will need to be created to allow account access. You can do this under Account access, which can only be found in Corporate accounts.

There are two main sections under Account access:

  1. Usernames: give a user full access to the corporate profile, as well as view and pay invoices in the account. You would give this access to the user who is responsible for paying the invoices.

  2. Notifications: view the history of account access confirmations and removals. Admins can see the status of the invitation sent, as well as resend any pending invites.


To create a username, enter an email address and then Search. You have the option to 1) Send activation request or 2) Link to account now:

The Communications email field can be found under Clients > Account > Corporate Information. This can be a more generic email address (like director@nomail.com or finance@nomail.com) and will give the user access to the notifications sent, such as transactional emails.


If this email address is not a confirmed username in the Account access section, the user will not have access to the corporate account to pay an invoice.

You can have multiple confirmed usernames in one corporate account, but only one communication email address.

How to Access a Corporate Account

The Corporate account is accessed through the user’s personal Amilia account. Once their username is confirmed, they can log in to their account and use the drop-down menu to access the corporate information.

The corporate account is a light blue colour and confirms the Corporate account name where you would normally see your personal account name:

Corporate Forms and Memberships

You can offer corporate memberships that can only be purchased by corporate accounts. A corporate form can be linked to this type of membership and can be created under Account > Forms > New form:


The corporate form is like the regular form but requires less information:


Once your form is created, you can create your corporate membership under Memberships > Memberships > New membership:

A Corporate membership must be linked to a Corporate form.


Corporate Account Purchase Flow

Corporate accounts can go through a store to purchase memberships (corporate type only), merchandise items, gift cards and donate to fundraisers. Multipasses, sessions and drop-in activities are not available for corporate accounts to buy. As such, a corporate account user cannot check-in using the “Access Management” tab.

The store can be accessed through a Corporate account in the Home tab:

When you select a new membership to purchase, a confirmation of the corporate account name is required:


The corporate checkout process is the same as when you make a purchase with a personal account.

Step 1: Order – confirm the order of what you are purchasing and agree to the Terms and conditions of the organization.

Step 2: Information – fill out the form required for the item being purchased, or enter any missing details.

Step 3: Payment – complete the payment using one of the options chosen by the organization.

Once the checkout is completed, a purchase confirmation screen appears, and the invoice is billed to the corporate account name. A history of previous invoices can be found in the Billing tab of the corporate account, and a list of all purchases can be found in the Purchases tab.

A corporate account can have a contract created and assigned to it, and anyone with a confirmed username will be able to go into the corporate account and make a payment directly in the account (if this is a payment method the organization allows).

FAQ

  • Can a client create their own Corporate account?

A visible corporate membership for sale in your store will prompt a user with a personal account to create a corporate account to purchase the corporate membership.


  • What kind of client uses a corporate account?

Depending on the type of activities your organization offers, a corporate account can be used by different kinds of groups. Any group or business that needs to purchase and pay under a company name rather than a personal account would use a Corporate account.

For example, you offer Open Play Time in your gym, and a local daycare center wants a corporate account to book available gym time and be invoiced directly. You have vendors at your Saturday indoor farmer’s market that need a corporate account to be charged for their table rental. A local business uses your conference rooms for bigger company presentations and needs to be invoiced for their weekly meeting.
