Outstanding Balance Alerts

An outstanding balance alert is an account-level flag staff can place to show that an account owes money. Unlike a block, it doesn't stop checkout — it's a visibility-only flag, visible to staff and to the account holder, that clears itself once the balance is paid (or can be resolved manually). For organizations that are part of a network, an account's alert shows every branch in the network where that account has a balance owing.

How it works

  • Staff can create an account-level alert (not just a block) directly from the Client Account Overview.

  • The alert banner names the source organization and is labelled as financial when the balance comes from another branch in the network.

  • The alert auto-resolves once the balance is paid in full. Staff can also resolve it manually at any time.

  • For networked organizations, an account's alerts show every branch in the network where a balance is owed.

  • Account-level alerts appear in the account's change history.

How to add an outstanding balance alert

  1. Go to the client's Overview page (Clients > select client > Overview).

  2. Click the Add Account Alert button.

  3. Add a mandatory comment and click Add account alert.

  4. The alert is displayed on the client's Overview page. In multi-location organizations, the alert is visible across all child locations.
