How to pause a Membership (Legacy version)

A step-by-step guide for pausing client memberships.

You can pause memberships with fixed end-dates for your clients. These include individual, family and corporate memberships.

Say your client bought a 1 year individual membership to a gym, valid from June 1, 2020 to May 31, 2021. They want you to pause their membership for the entire month of November 2020 (30 days). This means during the entire month of November, they won’t be able to benefit from your membership and the Expiration Date will automatically move to June 30, 2021.

If you unpause the membership sooner than was originally decided, the Expiration Date will auto-adjust to reflect the new pause period to make sure that the member doesn’t get more days in their membership.

How does this work?

Step 01: Select the membership from your membership list to locate the client’s name.

Step 02: Click on Edit membership in the Actions column for the client whose membership you want to pause, then click on the Pause tab in the popup.

Step 03: Select the date range for the pause and click on Save date range.

Once you pause a membership, the pause duration for the client will appear in the Paused date range column (as seen below). You'll also notice that the Expiration Date automatically extends to reflect the pause period.

Pausing a membership does not pause a client's planned installment payments.

The Edit membership option also allows you to Edit or Cancel the membership (as seen below). You can manually change the Expiration date through the Edit tab.

And, you can cancel the membership. Here you will have the option to issue some, full or no credit as well as send an email confirmation to the client about the credit issued to their account.

Credit issued from this page will have the same effect as credit issued from the client's billing.

Pausing subscriptions

The process to edit, cancel or pause subscriptions is the same as cancelling any other membership however, here are things that you should keep in mind:

  • When you edit a subscription, you will be able to change the price and billing day for that client.

  • When you cancel a subscription on a given date, your client will continue to have access to any activities they may have previously purchased with this subscription until that date.

  • When you pause a subscription, your clients won’t be charged for the pause period and won’t be able to participate in activities during that period. When you pause a subscription (think Netflix), it simply pauses the invoice but won't extend the expiration even if there is one.
