You can generate Membership ID cards for any membership. A participant’s membership card is saved in their user account, and in the client's profile in the Clients tab. You can export and print membership cards from the Memberships tab or the client's profile.
New Memberships use simple, customizable ID card templates (edit anytime!) that make it quick and easy to save your card configuration(s) to reuse on any membership.

1. How to create membership cards
You can enable membership cards for new and existing memberships on the membership's configuration form:
Scroll down to the 'Advanced settings' to enable a membership card for this membership.
If checked, a virtual membership card shows in the participant's user account (in the Membership Cards tab), and in the Clients tab for admins.
If unchecked, no virtual membership card shows.
Next, the Template drop-down appears (exclusive to New Memberships). Select an existing template or create a card template in the Account > ID card templates subtab to generate the membership card, which is previewed according to the selected card template. See the next section below for details about the fields you can include on your card templates.
❗ About the membership card templateMembership card templates are only available with our New Memberships. Without it, you won't have access to the ‘Template’ field, and you'll need to manually configure the membership card settings on the membership configuration form, for each membership.
Save when finished with the membership settings. You can edit membership card settings and card templates any time. Updated membership card settings will apply to all participants with the membership.
1.1 Choose which fields to show on the membership card
You may add or remove most membership card fields anytime. When you do, the membership card is updated for anyone with the membership (even if inactive).
Organizations on New Memberships will personalize their membership card fields on a template in the Account > ID card templates subtab.
Organizations that haven't updated to New Memberships will personalize their membership card fields directly on the membership configuration form.

Shows if the participant has a profile picture in the Clients > Account Members subtab. If your organization uses Access picture, the access picture is used on the Membership ID card.

This line appears directly beneath the membership name. Pick from the drop-down to display your website, address, email address or phone number. This information is pulled from the Account > Main Information subtab.

The name given to the membership. This field updates automatically if you change the membership's name.

The expiration date on the membership ID card will reflect the membership's expiration date. If the membership is ongoing, no expiration date appears on the membership card (even when this field is selected).

The Amilia ID number is a unique, alphanumeric code (P######) that is automatically assigned to a participant when their record is created in SmartRec. It can't be changed. It's visible in the Amilia app, the participant's user account, as well as in the Clients > Account Members subtab. The Amilia ID is referenced in several other areas across the platform, such as the Memberships tab, the Access Management tab and in certain reports. The Amilia ID and barcode can't be removed from the membership card.

2. How to create ID card templates
ID Card Templates for New Memberships
To use card templates for memberships, your organization must be on the latest version of Memberships. If not, you won't be able to see or use card templates.
ID card templates allow you to configure and save your membership card settings as a template to use for future memberships. No need to configure card settings every time you create a new membership!
Steps to follow to customize the membership card:
In the membership's configuration form, enable the Membership card section.
Select an existing template to use, or Create a card template.
This brings you to the Account > ID card templates subtab.
Name the template and pick which fields to show on the membership card.
Save your template. It'll be available for selection in the Membership card section of any membership's configuration form.
To edit an existing template, click under Actions, and then 'Edit'.
3. How to find and print membership cards
When membership cards are enabled on a membership, virtual cards are automatically generated for anyone with the membership (active or inactive), and are available for printing.
Admins can view and print membership cards from the Memberships tab or in the client's profile in the Clients tab.
❗ You may view inactive membership cards, but you can't print them.

Printing instructions for membership cards
To print membership cards (from the Memberships or Clients tab), use the Operations menu to 'Save the membership cards for printing' and follow the instructions to export the file and save it to your computer. You may print with a paper printer or a specialized card printer.
The card printers Fargo DTC4000, Datacard SD260, and Zebra series are proven to work with SmartRec. Technically, any card printer should do, as long as it supports printing a card size of minimum CR-80 3.375" L x 2.125" W.
4. FAQs
1. What's the difference between a membership card vs an Amilia ID card?
Membership cards confirm at-a-glance confirmation of which membership the participant has, and can provide the membership's expiration date.
The Amilia ID card is a more generalized form of ID that isn't membership specific.
Both ID cards show the same Amilia ID and barcode, which is used to scan members in Access Management.

2. Why do I see numbered templates already available for selection?
If you created membership cards on the legacy version of membership, you will see some numbered templates (ex: Template_38459) available for selection when you upgrade to New Memberships. These templates were automatically created when we migrated your membership card configurations to our new membership version.
For every membership that had membership cards enabled, one numbered template was created. This template should already be assigned to the proper membership in its Advanced settings. Feel free to edit the template name anytime!
