Network Tags

Related to tags used by the network Parent in multi-location management.

Tags are used to group items, label clients or staff (veterans, volunteers, donors, etc.), and facilitate searches (with filters in the back office or online store). So, for example, by adding a ‘Veterans’ tag to a client’s account, staff can forgo asking them to validate their Veteran’s status to benefit from a discount.

With Multi-location management, there are two main types of Tags:

  • Network tags: These tags are created by the network Parent and made available to all Child locations in the Network tags section of the Account > Tags subtab. This can be useful if a network Parent wants to ensure specific tags are available across all its Child locations. Network Tags are used in the same way as local tags, but they can only be assigned to accounts, memberships, and people, not scholarships.

  • Local tags: These are tags that are created locally and are only available within the organization/location that creates the tag (whether it’s a network Parent or a Child location). Only local tags can be assigned to Scholarships. Click here to learn more about local Tags.

1. How to create a Network tag

Only admins of the network Parent with the proper permissions can create Network tags in the Network tags box of the Account > Tags subtab.

  1. Click New tag in the Network tags section of the Account > Tags subtab.

  2. Provide a name and color for the tag.

  3. If your store is bilingual, enter the name in both languages. If not, the tag appears in the same language regardless of whether you're browsing in English or French.

  4. Save the tag. It is displayed in the Network tags box. Network tags display a globe icon to distinguish them from local tags: .

Network tags are immediately available to all Child locations in the network, in the Network tags section of the Account > Tags subtab.

2. How to edit a Network tag

Only admins of the network Parent (with the proper permissions) can edit Network tags.

  1. To edit a Network tag, click the to the right of the Network tag and select Edit. The Edit tag menu is displayed.

  2. Make your changes and click Save.

Note: You can also Duplicate or Delete Network tags from here. Duplicate Network tags are prepended with ‘Copy of’. Deleted Network tags are removed from the list.

3. How to Batch Duplicate / Delete Network tags

If you have multiple Network tags, you can Batch Duplicate or Batch Delete them. This can be useful for things like Skills with multiple levels, for example.

  1. Select the Network tags you want to Duplicate or Delete.

  2. Click theabove the Network tags list and select Duplicate or Delete. The selected tags are duplicated or deleted.

Duplicate Network tags are prepended with ‘Copy of’. Deleted Network tags are removed from the list.

4. Assigning Network tags

Network tags can be assigned to Memberships, Accounts, and People (in the Clients tab) in the same way as local tags. Network tags, however, cannot be assigned to Scholarships.

5. FAQ

1. Can child organizations apply and remove Network Tags?

Yes, once a parent organization creates a network tag, it is immediately available for child organizations to apply or remove.

2. What happens if a Parent organization deletes a tag? How does that impact the Child organization?

A network tag that is in use can’t be deleted; it can only be archived. An archived tag will not be automatically removed from the accounts to which it was applied, but the tag is no longer available and cannot be applied to any accounts moving forward.

3. What benefits do Child organizations have using local tags that Network tags can't do?

Child organizations can use their own sets of local tags if they wish. This can be beneficial if a child organization wants to personalize the way they categorize their clients.
