🔎 Spot the difference : Visitor kiosk vs Waiver kiosk
You might be familiar with our visitor kiosk, which is an unattended, client-facing screen that visitors can use to check in to a facility. If a user has a waiver pending a signature in their account, it can be prompted to clients during check-in via access management. Children cannot sign a waiver at the visitor kiosk, only an admin can sign on their behalf at the front desk.
The waiver kiosk, on the other hand, is launched on a tablet that will be used solely for signing a waiver. The waiver doesn't have to be linked to an activity, membership or to an existing account. It can be prompted to an existing client or walk in client at any time. A legal guardian can accept a waiver on behalf of a child in their account at the Waiver kiosk.
Common waiver kiosk scenarios:
A guest using your facility for the day
Offering a tour to a potential client
User agreement question was left unanswered in a client account
Child is denied access at the Visitor kiosk due to unsigned waiver
Collect a signature for a client who does not have access to their client account or Amilia ID
Note:
The visitor kiosk and the waiver kiosk cannot share the same tablet.
💻 How to set up your waiver kiosk
Here are the simple steps to get your kiosk up and running. From setting up the user agreement question to launching the waiver form for a client to sign!

To launch a kiosk, there must be at least one waiver form created. You can create various waiver forms for different locations or different purposes for accessing your facility. The same form can be used for an adult or child, present guardians can sign on behalf of a child.
If you are starting this process from scratch, the first step would be to create the user agreement extra question under Account< Forms< Extra questions.
Once your question is created, you can create your waiver form under Account< Forms<Forms.
If you already have a waiver form created, you can skip the steps above and head straight to the next step ⬇️

Once your form is all set up, your kiosk is ready to be launched for the day! This can be done by front desk staff every morning at the start of their shift. You can create up to 10 different kiosks, for different areas of your facility.
Under Account<Forms<Waiver kiosks, select Launch waiver kiosk to create your first kiosk.
Type in the name of your kiosk, and select Launch kiosk.
Your current screen will turn into the newly created kiosk, and you will be logged out for security. Please keep this screen permanently open on your device of choice to quickly use this kiosk throughout the day!
Open a new tab or switch devices to resume using your SmartRec back office and prompt waivers to the kiosk from a client account.
We highly recommend using a tablet for your kiosk, but it can be launched on a separate tab on your computer.
Ensure that your device is set to full screen for optimal resolution.
If using an iPad, Apple requires Safari to be downloaded as an app to enable full screen.
✏️ Collect client signatures
Once your kiosk is open on your tablet or second screen, it's time to start collecting signatures! The waiver is prompted to the kiosk directly from the client's profile.
If your kiosk is not actively open on a tablet or separate screen, there will be no kiosks to choose from when you attempt to prompt a waiver for signature.

Find your client under your client list, and select their profile under Account members. From there, select the ellipses icon to the right of their profile picture and prompt waiver.
Select the waiver form to be signed and specify the waiver kiosk to direct it to. You can only select one option at a time. Once selected, these fields will be automatically saved after the initial use on this device but can be modified at any time.
To send the waiver to the kiosk for your client to sign, click on “Send to kiosk”.
From the kiosk screen, your client will be able to digitally sign the waiver by selecting the user agreement, checking the box “I have read and agreed to the terms”, and then confirming with “I accept”. If there are multiple user agreements in your waiver form, your client will sign each one separately from the same screen.
(Leaving this screen logs you out, to ensure clients can't access the back office).
It is possible to have a new client or walk in client sign a waiver. First, create a new account for them and follow the steps listed above ☝️. The account does not need to be activated to sign a waiver.

A guardian can conveniently sign a waiver on behalf of a child (> 18 years old) using the waiver kiosk!
The guardian must be saved as a legal guardian contact under the child's profile. If the child has no contact, the waiver cannot be prompted to a kiosk.
Prompt the waiver to the kiosk as usual, and select which contact will be signing on behalf of the child.
The guardian will sign the waiver as usual, however the checkbox will specify that they are singing on behalf of the child.
When viewing the signature stamp under the child's profile, the contact's name will appear as the signee.
📃 View a signed waiver in a client account
Find the participant's profile in the Clients>Account Members subtab.
Click on the account member, and in the Forms field, select the waiver.
Scroll to the Extra Questions and click the Download icon to obtain a copy.
❗Careful! If an admin clicks 'Read me' and then 'I accept', the record of the agreement is replaced with the admin's email and a new timestamp. Simply click 'Close' to dismiss the waiver.

No, you can't directly send a waiver to a member's device instead of using the kiosk. However, they can complete any unsigned waiver by logging into their account and navigating to: Members > Forms by Organization > Extra Questions.

The kiosk’s appearance can’t be customized. It will automatically display the date, time, your organization’s name, and your logo (if uploaded).

Yes, you can launch different kiosks throughout your facility at the same time! For example, Aquatics & Gym. However, to have them launched simultaneously, they must each have their own dedicated tablet.
