The Zoom app connects SmartRec with your Zoom account to automatically generate meeting links and calendar invites for activities you host online. It's never been easier to create and sell online activities in your store!

🎥 How to activate the Zoom integration

Before getting started

To successfully activate the integration and connect your organization's SmartRec account to Zoom, you must be a Zoom account owner or an admin with the appropriate permissions within the Zoom account.

💡 Use your organization's Zoom account. Avoid using a personal Zoom account.

How to connect SmartRec with your Zoom account

In the Apps tab, click on the Zoom app, and then Activate.

  • Click the 'Connect to Zoom' button. A separate tab opens to Zoom's login page.

  • Enter your Zoom credentials to log into your organization's Zoom account.

  • The first time you connect Zoom to SmartRec, the admin must click the 'Allow' button to finalize the integration.

The integration is complete! Zoom remains open in a browser separate tab.

Zoom stays connected to your organization's SmartRec account until an admin clicks the 'Disable' button in the Apps tab. To connect again, click the 'Connect to Zoom' button and repeat the process above.

How to schedule an online activity with Zoom

Make sure to sign in to your organization's Zoom account and ensure that it's connected in the Apps tab before you set up your online activity.

Here's what to expect when Zoom is connected:

  • Zoom is the default platform when you schedule an online activity.

  • The Zoom user (i.e., an admin in the Zoom account) becomes the meeting host. Each Zoom user requires 1 Zoom license.

  • Save the schedule AND save the activity to generate the link to join the activity.

🎗️ When an activity has a schedule with multiple occurrences,

Zoom assigns each occurrence the same meeting link.

Please note that SmartRec does not provide any passcodes.


🔴 How to remove the Zoom integration

To remove Zoom from your SmartRec account

Zoom stays connected to your organization's SmartRec account until an admin clicks the 'Disable' button in the Apps tab. To connect again, click the 'Connect to Zoom' button and repeat the process above.

To remove SmartRec from your Zoom account

Login to your Zoom account and navigate to the Zoom App Marketplace.

  • Click Manage > > Added apps or search for the Amilia app.

  • Click the Amilia app.

  • Click Remove.


❓ FAQ's

1. How do I add more Zoom users to my Zoom account?

Zoom users refers to the number of licenses acquired for the Zoom account. If a user has a license, it means they have their own login credentials.

An organization may have only one Zoom license, which means one Zoom user - so in essence, one set of credentials to log in with.

2. Can I host multiple meetings at the same time?

Hosting simultaneous meetings at the same time means the same Zoom user is hosting more than one meeting at the same time, and this capability depends on your Zoom account and license type.

We recommend speaking with a Zoom professional to explain your meeting needs so they may best direct you to which type of license is best suited.

3. What if I assign a staff member that isn't a Zoom user?

If an online activity is assigned a staff member that doesn't have a license in the Zoom account, we recommend providing them with the login credentials so they may log in and host the meeting. Otherwise, they'll join as a participant, rather than as the host.

4. How can I see scheduled meetings directly in Zoom?

In the Zoom application, meetings are listed in the order they'll occur. There are also options to sync your Zoom events to your Outlook, Yahoo, Google or Apple calendar.

5. If I delete an activity in SmartRec, will it also delete in Zoom?

If you delete an activity with a Zoom meeting link in SmartRec, the meeting will still exist in Zoom. You must delete the meeting in the Zoom application as well.

6. If I delete a meeting in Zoom, will it delete the link in SmartRec?

If you delete a meeting link in Zoom, the link remains visible in SmartRec but will no longer be functional.

7. If I disable the integration, will I lose any meeting links?

If you disable the Zoom integration in the Apps tab, the meeting links generated in Zoom and visible in SmartRec will still remain and will still be functional.

8. When should I contact Amilia support or Zoom support?
