How to Manage Costume Fittings

Scheduling apparel fittings is essential for any activity, event or performance that requires its athletes to be dressed for the part!

Simplify the process by prompting your clients to choose a fitting date and leave a deposit towards their outfit as they register.

We suggest using one of two workflows. Each consists of supplying registered participants a secret link they can use to register to costume tryouts. Additionally, mandatory merchandise must be purchased to serve as down payment for their uniform.

Workflow #1 - Setup in 3 Steps

Step 1 - Create your recital costume(s)

In the Store>Merchandise subtab, create one or more costumes:

  • The Selling price is the deposit amount for the costume.

  • Taxes should be Waived.

  • The Inventory quantity should be 0.

  • The Store display should be Keep Hidden.

Step 2- Link your merchandise to applicable activities

In the Activities>Edit subtab, edit the applicable activities:

  • In the Merchandise section, toggle the applicable costume(s) to Mandatory.

  • Save your activity when finished.

Step 3- Create a hidden activity 

In addition to your regular activity, create a hidden one for the size and measurement day(s). The link to the hidden activity will be emailed to registered participants.

  • Within the same program, create another activity.

  • The name should specify it is for costume sizing.

  • Under Status, toggle to Hidden. Note the secret link.

  • Under Session, put the cost at 0$.

  • Save the activity. Repeat for as many activities as necessary.

What to Expect during Registration

  • Choosing the activity will prompt clients to add the costume to their cart.

  • At checkout, clients are charged for the activity and the costume deposit.

  • View the list of registered participants via the Activities>Registration subtab and send an email which includes the hidden link to the hidden Costume Sizing activity.

  • Using the link, clients can register to the sizing activity at no charge.

  • The list of registered participants will be those expected for costume sizing.

Workflow #2 - Setup in 3 Steps

Step 1- Create your recital costume(s)

In the Store>Merchandise subtab, create one or more costumes:

  • The Selling price is the deposit amount for the costume.

  • Taxes should be Waived.

  • The Inventory quantity should be 0.

  • The Store display should be Keep Hidden.

Step 2- Create your Hidden Program for costume fittings

A hidden program will house your costume fitting activities. The link to this program will be included in the client's purchase confirmation. In the Activities>Program subtab:

  • Name your program to clarify it's for costume tryouts.

  • The registration forms should be the same as applied to your original program

  • Activity view should be Session.

  • Do not check the Visible to Clients box. This program should be hidden.

  • Take note of the secret link.

  • Return to the program that houses your activities.

  • Scroll to the Confirmation of Registration section.

  • Include instructions and add the hidden link from your hidden program.

Step 3- Create costume fitting activities in the Hidden Program

In the Activities>Edit subtab, create your costume fitting activities.

  • The name should specify it's for costume sizing.

  • Under Status, toggle to Normal.

  • Under Session, put the cost at 0$.

  • In the Merchandise section, toggle the applicable costume(s) to Mandatory.

  • Save the activity. Create as many sizing activities as required.

What to expect during Registration

  • Clients will purchase the activity as usual.

  • At checkout, clients will be charged for the activity.

  • A link to the hidden program will be available on their purchase confirmation.

  • Clients will follow the link to register to another activity intended for costume tryouts.

  • Choosing the activity will prompt them to add the costume to their cart.

  • At checkout, clients will be charged the deposit for the costume.

  • Access the list of registered participants to the hidden program and activities via the Activities>Registration subtab.

  • The list of registered participants will be those expected for costume sizing.
