Logs Report

The Logs report captures every change made to accounts, people, memberships, activities, and facility bookings in your organization. Use it to trace who changed what, when, and why — for disputes, audits, staff accountability, or troubleshooting.

1. When you need this report

  • Staff audits — Verify what a specific team member changed and when.

  • Dispute resolution — Find the exact moment a price, date, or account detail changed, and who did it.

  • Compliance checks — Review all changes to sensitive fields (date of birth, address, gender) across your organization.

  • Data troubleshooting — Investigate unexpected membership or activity changes.

2. Before you start

Why you need it

Clients

View client accounts

Required — Grants access to the Logs report.

If you can't find the report, ask your admin to check this permission.

⚠️ Each export is limited to 1 month of data due to log volume. For longer periods, run multiple exports.

3. How to access account logs

  1. Go to Reports > Operations > Logs.

  2. Select a date range (maximum 1 month).

  3. Click Generate to download as Excel.

4. Understanding the columns

Column

What it shows

Subject

What was changed: Account, Person, Membership, Activity, Installment payment, Booking, etc.

Subject ID

The internal ID for the subject (used for system reference).

Link

A clickable link to open that account directly. Only shows for records that can be opened.

Amilia ID

The Amilia ID (if applicable). Use this to search for a specific client.

Full Name

The person (not the person who made the change).

Action

What happened: Created, Edited, Deleted, Assigned, Blocked, Unblocked, Merged, Paused, etc.

Property

The specific fields that changed: Email, Date of birth, Address, Membership price, Profile picture, Tag, etc.

Before

The old value (if applicable).

After

The new value (if applicable).

Date & Time

When the change happened.

Source

Who made it: an admin email, a participant, Amilia, or System (automatic).

Note

Note left by an admin when doing the change (if applicable).

5. How to find what you're looking for

Find a specific client

  1. Copy the client's Amilia ID from your client list.

  2. Open the exported Excel file.

  3. Search for the ID in the Amilia ID column.

  4. Click the Link to jump directly to that account.

Audit a staff member

  1. Enable Filters in Excel.

  2. Click the dropdown arrow that appears in the Source column header.

  3. Select the staff member's email.

  4. Review all rows — this shows everything they changed in the time period.

Track changes to a specific field

  1. Enable Filters in Excel.

  2. Click the dropdown arrow that appears in the Property column header.

  3. Select the field you're interested in (e.g., Date of birth, Address, Price).

  4. Scan the Before and After columns to see what changed.

Exclude your staff's changes

  1. Enable Filters in Excel.

  2. Click the dropdown arrow that appears in the Source column header.

  3. Select Text filters > Does not contain.

  4. Enter your staff domain email (e.g., "amilia.org").

  5. Click OK — now you see only non-staff changes.

Resolve a disputed change

  1. Find the client's ID and search for it in the report.

  2. Look for rows with the Property you're investigating (e.g., Price).

  3. Check the Date & Time and Source columns to see exactly when and who changed it.

Frequently asked questions

How far back do the logs go?

Logs have been added iteratively since March 2026, one category at a time:

  • Wallet authorization — April 2026

  • Membership management and tags/skills — May 2026

  • Account merges — June 2026

  • Account/person management — July 2026

  • Bookings, activity configuration and membership configuration — July 2026

Between these months you may notice some gaps, but every category is fully and consistently logged starting September 1, 2026.

Why don't I see a change I made?

Logs are generated when changes are saved, but can take up to 5 minutes to appear in the report.

I don't see logs coming from imports, API, or specific actions. Why?

Some automated processes, like bulk imports or API access, aren't always covered in logs. Specifically, imported membership creation does not generate a log entry.

Can I export logs for a specific person or account?

You can access a specific account’s history (Clients > [Select Client Account] > History) to see changes about that single account: Client account management

What if the "Link" doesn't work?

Some record types (e.g., deleted accounts from merges) lead to dead links as the record no longer exists.
